Gill Library is seeking a dynamic, service-oriented individual to fill the position of Secretary to the Dean. This is a full-time, support staff position, available immediately, reporting to the Dean of the Library.
Responsibilities include:
- Facilitate the smooth daily operations of the Dean’s Office and foster a positive working relationship with all College departments
- Prepare and distribute correspondence, memos, reports and agendas
- Assist with reporting and follow-up of building issues for all campus libraries
- Maintain inventory of office and general Library supplies for all campus libraries; includes equipment
- Maintain comprehensive Library budget records, including preparation of monthly invoices and monthly cumulative comparison statements for all acounts
- Order, acquire and process all items for the Library collection (Acquisitions)
- Act as liaison with vendors, maintain deposit accounts, maintain accurate vendor files
- Prepare, submit, track and receive purchase orders and check requests
- Monitor Library room reservations
- Assist in the preparation of all Library calendars
- Create and update distribution lists
- Assist in the organization of staff functions and professional development workshops
- Transcribe student evaluation forms
Required Qualifications: Excellent interpersonal and organizational skills; proficient in the use of Microsoft Office Suite; demonstrated ability to manage technical projects; demonstrated commitment to customer service and collaborative approaches; ability to work independently, manage multiple tasks requiring attention to detail with minimal supervision, firm commitment to the Library’s Statement of Objectives and the Mission of the College.
Preferred Qualifications: Academic library experience; experience with integrated library systems (preferably Innovative Interfaces Inc.)

Gill Library is a newly-renovated state-of-the-art facility that serves students of the College’s four schools on the main campus in New Rochelle and at branch campuses of our School of New Resources in New York City.
